The following information explains general group reservations opportunities as well as other pertinent policies and procedures. All dates and times are subject to course availability as determined by Harborside International.

A signed outing agreement along with a deposit check is required to secure all outings. Final payment in the form of a check is due a minimum of two days prior to the event. Any additional authorized charges incurred by the outing on the outing date are due that day. All deposits are non-refundable. A separate Food & Beverage Agreement will be required, see section titled Food/Beverage Service for details.
• Harborside is a non-metal spike facility (spikeless).
• Proper golf attire is required: collared shirts, golf slacks or walking shorts. No blue jeans.
• Please include these policies with all your player correspondence
(i.e. invitations).
• Greens fee and cart for 18-holes.
• Professional bag handling service: receive, cart set-up, clean and return clubs.
• Professional golf staff assistance: official scoreboard, rules sheet, scoring and on-course contests.
• Complimentary use of locker room and shower facilities.
• Complimentary warm-up practice balls.
• Player I.D. plates on carts.
• Tee pack and Players Guide with daily pin placements.
• Player Assistants to monitor pace of play.
Certain policies and guarantees with regard to tournament starting times and/or shotgun events are required. Consecutive tee times are at 10-minute intervals with times subject to course availability as determined by Harborside International staff.
For Shotgun Events
• Shotgun events may have fewer than the 144 participants per 18-hole event ( 288 participants per 36-hole event), but the base fee per event will remain the same. Also, all shotgun events carry a required food & beverage minimum.
• If the number of players in the event exceeds 144 participants per 18-hole event (288 participants per 36-hole event), an additional golf fee per player will be assessed for each player over the stated player limit.
• There is a deadline date to declare the number of players participating in the event and this deadline date will be stated along with the number of participants on the Outing Agreement. This will allow Harborside to completely prepare for the upcoming outing.
• Also, events that exceed published player limits may need the use of additional carts. These carts carry an additional fee depending on the number of additional carts needed. Any additional carts and their associated costs are the responsibility of the outing sponsor and usually are ordered by the Outings Coordinator from outside sources well in advance of the outing date. Any additional participants above the set limits per course event must be approved by the Harborside Outing Coordinator.
• Outing reservations will be accepted up to one year in advance.
• All play consists of 18-hole rounds of golf in foursomes without prior agreement.
For Consecutive Tee Times:
• The estimated number of participants in the outing must be stated on the top of the Outing Agreement. Prior to the outing there is a deadline date for the actual number of players participating in the outing. After this date, the number of participants may be decreased by no more than 8 players up to 48 hours prior to the outing. No subtractions may be made less than 48 hours prior to the event. Any additions made after the deadline are only possible based on course availability. Any additions or subtractions to tee times must be approved in writing by the Harborside Outing Coordinator.
• All play consists of 18-hole rounds of golf in foursomes without prior agreement.
For your convenience, Harborside has the Scorecast player spreadsheet available to all outings. The spreadsheet can help you organize your participants, is easy to use and can be imported directly into our system once you have emailed it. This format will help us both in the speed and accuracy of all outing participant information. Please contact the Harborside Outing Coordinator with any questions. (312) 782-7837 (Ext. 228)
• A pairings and alphabetical list of players must be delivered a minimum of 72 hours (three days) prior to the outing in order to efficiently prepare for the outing. The list (last name first) can be faxed, e-mailed or delivered on a 3.5 diskette in Excel format. Please contact the Harborside Outing Coordinator with any questions. (312) 782-7837 (Ext. 228)
• Harborside strives for a 4-1/2 hour,18-hole round of golf for all groups and players. Player assistants will be on the golf course to help monitor the pace of play. Players must follow all course rules and regulations. All signage must be observed. Proper golf etiquette applies.
• Group transportation information is available. Please inquire.
• If additional carts are required for non-participants during the outing, the carts will carry an additional surcharge and are subject to availability as determined by Harborside International staff.
A separate Food & Beverage Agreement with Phil Stefani Signature Restaurants will be required for all outings. The on-site Stefani's Food & Beverage Manager at Harborside will contact you to discuss your food & beverage needs and options, or you can call (312) 782-7837, extension 237 or email cgudyka@stefanigroup.com.
• Food and beverage service includes: on-course beverage carts, Halfway House, and our clubhouse home of Pier 37 Bar & Grill where 300 guests can be accommodated.
• Our Phil Stefani Signature Restaurant staff will tailor a menu to meet your breakfast, lunch, dinner or reception needs. Other Phil Stefani Signature Restaurants include Tuscany, Riva, Tavern on Rush and 437 Rush.
• Complete payment is due 48 hours prior to the event for all charges incurred.
• No outside food or beverage will be permitted.
• Food and beverage minimums are required for all events.
• In the event the outing is cancelled due to weather, as determined by Harborside, 5% of the total outing golf fee will be retained by Harborside to offset setup charges incurred. Special orders for merchandise for the event will be the responsibility of the outing sponsor.
• In case of a rain-out during play, the Harborside Outing Rain Policy shall apply. This is available from the Outing Coordinator.
• A group clinic or a customized lesson program is available through our instructors to enhance your outing experience. For further information please contact us at (312)782-7837, Extension 228.
• Complimentary practice balls are available prior to starting time.
• Make your outing memorable. Harborside International offers one of the finest golf shops in the Midwest. It can provide your guests with a wide range of Harborside and/or sponsor-customized logo merchandise. Choose from a variety of gifts including balls, shirts, caps, towels and other specialty items, or purchase Harborside International Gift Certificates and let your guests choose. Please ask for assistance concerning these outing gift ideas.
• Discounted golf shop merchandise may be available based on quantity
requirements.
• All prizes and giveaways for outings must be purchased through the
Harborside International Golf Shop.
• Illinois retail sales tax will be charged on all merchandise purchases.
When placing orders please allow ample time for delivery of logo items.
• Men’s right- and left-handed sets and women's right-handed sets are available in limited quantities. Please specify your requirements in advance to best meet your rental needs.
• Rental sets are available for $40.00 per player.
• Each player must have a set of clubs.
• The replacement of any lost or damaged clubs from rental sets used by players during the outing, as stated in the Harborside Rental Club Agreement, is the responsibility of the person/party that pays for the rental set.
Note: Information on Harborside International Golf Center and its facilities, which is used in promotion of a Golf Outing or event, must be approved by Harborside Marketing through the Harborside Tournament Coordinator/Golf Professional.
